Privacy policy
In short. DispatcherTools runs inside your browser and has no servers of its own. Nothing the extension handles is sent to us. Your settings, templates and sign-in details are stored in your browser. When you press send, your email goes directly from your browser to Google or Microsoft. Optional map features contact Google Maps and OpenStreetMap services as listed below.

1. What the extension does
DispatcherTools adds tools to two websites that you open yourself: one.dat.com (DAT One) and main.truckstop.com (Truckstop). Its scripts run on those pages and read what is shown on the page (for example a load's origin, destination, pickup date, and the contact's email or phone number) so they can add buttons and fill in your email templates. That page content is processed in your browser. The extension does not run on other websites.
2. Data stored in your browser
The extension keeps the following in your browser's extension storage on your device.
| What | Why | Details |
|---|---|---|
| Settings (on/off switches including "Target rates", theme levels, per-search Target values and age filter) | Remember your choices | Stored in the extension's local storage (chrome.storage.local) in your browser. Not synced by the extension. The "Target rates" switch is saved as targetBoxes. Target values are saved per search tab as tsTargets and tsRates (Truckstop) and datRpmTargets and datRateTargets (DAT One), under keys that include the search's origin city (for example dat|nashville, tn). When the extension updates, an older saved key, targetRpms, is removed. |
| Email templates, dispatcher labels, signature and logo | Build the emails you send | Same local storage. The logo is stored as an image inside the browser. |
| Microsoft (Outlook) sign-in: access token, refresh token, account address | Send mail through Microsoft | Local storage in your browser. Only present while Outlook is connected. |
| Gmail: account address and connection time | Show which account is connected | The extension stores only these. Chrome itself holds the Google access token. |
| "Contacted" marks: the recipient email or phone, the load's origin and destination, and a time | Show a check mark on contacts you already emailed or called | Entries older than 24 hours are discarded when marks are next saved. |
| Cached place coordinates and finished lane distances (True RPM, only if you turn it on) | Avoid asking the same question twice | City coordinates for cities not in the list bundled with the extension, and distances for lanes. Capped (about 5,000 places and 8,000 lanes), oldest dropped first. |
| Other bookkeeping: whether you pressed "I understand" on the data notice (and when), whether the tour was seen, a cached theme palette, and a note of which Truckstop page parts could not be found | Make the extension work | Local storage in your browser. |
The extension does not use cookies or web storage of its own. It does not create accounts and has no login with us.
"Reset to defaults" in the extension popup turns the switches back to their defaults, resets the theme levels, deletes all saved Target values on both sites (Truckstop target rates and $/mi, DAT RPM and rate targets) and turns Target rates off. It does not remove templates, signature, logo, sign-in details or caches. See section 8 for how to remove those.
3. Data sent to other services
These are the only network destinations the extension code contacts. None of them is operated by us.
| Recipient | What is sent | When |
|---|---|---|
| Google (Gmail API and Google sign-in) | Your account email address (to confirm which account you picked); the email you send (recipient, subject, body, signature, logo); the label name from the template; label names are read and, if missing, a label is created; a revoke request when you disconnect. | Only when you connect Gmail, press send on a load or the test-email button, or disconnect. |
| Microsoft (Microsoft Graph and Microsoft sign-in) | Sign-in request and tokens; your account address; the email you send (recipient, subject, body, signature, logo) with the template label as an Outlook category. | Only when you connect Outlook, press send on a load or the test-email button, or when the extension renews its sign-in. |
| Google Maps (opened in a new tab) | The truck location (your search origin), the load's pickup and the load's drop-off, as part of a Google Maps link. | When you click the Google Maps pin on DAT One or the route button on Truckstop. |
| Google Maps (small embedded route map on DAT One) | The same locations, loaded into a frame inside the load details. The frame is sent without a referrer. | Automatically for each opened load, only if you turn on "Mini map" (off by default). |
| OpenStreetMap Nominatim (place lookup) | The text "City, ST, USA" for a city that is not in the list bundled with the extension. | Truckstop only, and only if you turn on True RPM or Road map (both off by default). |
| OSRM routing service (router.project-osrm.org) | Coordinates (latitude and longitude) of the truck city, pickup and drop-off. | Truckstop only, and only if you turn on True RPM or Road map (both off by default). |
| OpenStreetMap tile server (tile.openstreetmap.org) | The map tile requests that any web map makes, which include your IP address and the tile position being viewed. | Truckstop only, and only if you turn on Road map (off by default). |
Each of these services applies its own privacy policy to what it receives. We do not control it.
4. Google user data and Limited Use
If you connect Gmail, the extension asks Google for two permissions (scopes):
https://www.googleapis.com/auth/gmail.modifyhttps://www.googleapis.com/auth/userinfo.email(to read the address of the account you chose)
Why gmail.modify is needed
The extension uses it to (a) send the template email you ask it to send, and (b) apply a label to that sent message. The label comes from the "Dispatcher label" field of the template you used. Dispatchers who share one mailbox can give each person's templates a different label, so that everyone can see in Gmail who sent what. Creating the label, if it does not exist yet, and adding it to the message needs this permission. The extension performs only these Gmail actions: send a message, list labels, create a label, and add a label to the message it just sent. It does not read, list, search, delete or download your mail.
How Google data is used
- The Google account address is shown in the extension so you can see which account is connected, and is stored locally.
- Email content is created from your template, the load details on the page you are viewing and your signature, and sent to Google to deliver. We never receive a copy.
- Google access tokens are held by Chrome, not by us. Nothing from Google is transmitted to any server of ours, because we have none.
- We do not use Google user data for advertising, we do not sell it, and we do not allow people to read it.
Gmail sign-in uses Chrome's built-in Google sign-in and works only in Google Chrome. In other browsers (for example Brave) connect Outlook instead.
Limited Use disclosure. DispatcherTools's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Microsoft account data
If you connect Outlook, you sign in on Microsoft's own sign-in page. The extension requests the permissions Mail.Send (send mail as you), User.Read (read your name and address, used to show which account is connected) and offline_access (stay connected without asking you to sign in again). It uses Microsoft Graph only to read your address and to send the emails you ask it to send. If a template has a dispatcher label, the extension sets it as an Outlook category on the outgoing message. The sign-in tokens are stored in your browser and sent only to Microsoft.
6. How sending works
- Nothing is sent until you press a send button: the paper-plane button next to a contact on DAT One or Truckstop, or "Send test email" in the dashboard. A page script cannot press the paper-plane button for you.
- One press sends the email immediately, using your default template. There is no general "are you sure?" step before sending.
- The one confirmation: if you already emailed the same address about the same load, the extension asks "You already emailed ... about this load. Send again?" first. On DAT One this is remembered for 24 hours; on Truckstop only until the page is reloaded.
- The extension stops sending after 40 load emails within 10 minutes.
- The test email is sent to your own connected address.
- Signing in and sending are switched off until you press "I understand" on the data notice.
- Email goes through your own Gmail or Outlook account, so it appears in your Sent folder as usual.
7. What we do not do
- We operate no servers for the extension, so we receive none of the data described above.
- The extension contains no analytics, advertising, tracking or crash-reporting code.
- We do not sell or share your data.
- The extension does not load code from the internet. Its code is the code in the installed package.
8. Disconnect, revoke and delete
Disconnect an email account
- Open the extension popup and choose "Templates & email setup" to open the dashboard.
- In "Email account", press Disconnect, then "Yes, disconnect".
- Gmail: the extension removes Chrome's cached token, asks Google to revoke it, and clears the stored account address.
- Outlook: the extension deletes the stored sign-in tokens from your browser. It does not ask Microsoft to revoke the permission, so to remove it completely also remove the app's access in your Microsoft account (work or school accounts: myapps.microsoft.com; personal accounts: your Microsoft account's app and services permissions page).
Revoke access from your Google or Microsoft account
You can remove DispatcherTools's access at any time from your Google Account's third-party access page (myaccount.google.com/permissions) or from your Microsoft account as above.
Delete the data stored in your browser
- Remove the extension from your browser (in Chrome: Extensions page, then Remove). The browser deletes the extension's storage with it. Disconnect your email first so the Google permission is revoked too.
- To remove just the templates, signature and logo, delete them in the dashboard and save. "Reset to defaults" in the popup does not remove them.
Because we hold no copy of your data, there is nothing for us to delete on our side.
9. The first-run data notice
The extension shows this notice the first time it is opened, once more after an update that changes the notice (this text is version 2), and again whenever you press "Data notice" in the dashboard. This policy covers the same points in more detail.
What data DispatcherTools handles
- Email addresses and the message you send go from this browser to Google (Gmail) or Microsoft (Outlook), and only when you click send.
- Sign-in: the Microsoft sign-in tokens are kept in this browser. For Gmail, Chrome keeps the sign-in; this extension keeps only the account address.
- Disconnecting Outlook deletes only the sign-in kept here.
- Your templates, labels, signature, logo and settings are stored in this browser.
- Also stored here: True RPM city coordinates and lane distances, and for 24 hours the contacts you already emailed or called (recipient and route).
- True RPM and the Truckstop road map send coordinates only to OSRM. Nominatim gets "City, ST, USA" only for cities missing from the bundled list. Map tiles come from OpenStreetMap.
- The DAT mini map (off by default) loads a Google Maps frame by itself, with the load's locations, without a click.
- When you click the Google Maps pin or the route button, the load's pickup and delivery locations are sent to Google Maps.
- Nothing is sent to our servers.
10. This website
This website is static. It uses no cookies, no analytics, no tracking and no third-party scripts or fonts. It is served by our hosting provider (Cloudflare Pages), which may keep ordinary technical access logs such as IP address and requested page. If you email support@dispatchertools.com, we use what you send only to answer you.
11. Changes and contact
If this policy changes, the effective date above changes with it, and if the extension's data handling changes in a way you should read again, the extension's data notice is updated and shown again.
